PRODUCTION ASSISTANT

Location: West Hollywood, Los Angeles
Reports To: CEO
Hours: Part-Time
Salary: To be determined based on qualifications and experience

We are looking for a highly organized and adaptable Production Assistant to support our design, production, and administrative operations. This role requires attention to detail, multitasking abilities, and a proactive mindset. The ideal candidate is passionate about luxury fine jewelry and eager to grow within the industry.

KEY RESPONSIBILITIES

Design & Production:

  • Oversee and coordinate production orders, ensuring accurate execution and deadlines are met.
  • Communicate with suppliers, and manufacturers to confirm orders, timelines, and product specifications.Communicate production updates, lead times, and any changes to the team.
  • Work closely with the design team to translate sketches into technical specs for production.
  • Assist in creating marketing materials, including promotions, invitations, lookbooks, manuals, and advertisements.Contribute to the development, sourcing and design of packaging.
  • Support the production team with daily tasks such as organizing materials, cleaning jewelry, sourcing supplies, coordinating deliveries, and preparing for client appointments.

Quality Control & Inventory:

  • Inspect incoming products to ensure quality, quantity, and condition meet brand standards.
  • Identify and report any discrepancies, damages, or inventory issues.
  • Maintain accurate inventory records, tracking raw materials, components, and finished goods.Monitor stock levels and reorder products as needed.
  • Organize and label inventory for efficient tracking and retrieval.
  • Communicate inventory status updates and concerns to the team.

Transportation & Logistics:

  • Pick up orders and inventory from production workshops, ensuring safe and accurate transport.
  • Handle materials with care and maintain proper storage procedures.
  • Coordinate shipments between manufacturers, suppliers, and retail locations.
  • Assist with packing and shipping orders, ensuring proper handling and presentation.

Office Admin:

  • Manage email and phone inquiries, directing communications as needed.
  • Monitor and restock office supplies while maintaining organized storage.
  • Maintain digital and physical filing systems for key documents and update production processes, order details, and supplier information.
  • Assist in maintaining digital and physical records of designs, orders, and inventory.Assist with data entry, report preparation, and special projects as assigned.
  • Collaborate with sales and marketing teams to align production with demand.

REQUIREMENTS

Experience:

  • A valid driver’s license and a clean driving record.
  • Previous experience in sales, production, or e-commerce is highly desirable.
  • Experience in a fast-paced office or luxury retail environment will be an asset.

Skills & Competencies:

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work both independently and as part of a team.
  • Detail-oriented with a keen eye for accuracy and consistency in all tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with inventory management systems.
  • Experience with CAD design is a plus.
  • Experience with Shopify or other e-commerce platforms is a plus.

Availability:

  • Flexibility to occasionally work weekend shifts and holidays as required.
  • Start date: 04/01/2025 or sooner.
